Terms of service

1. Acceptance of Terms

By accessing or using TrackIt Life ("the Service"), operated by A&C Digital Ltd, trading as TrackIt Life ("we", "our", or "us"), you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the Service.

A&C Digital Ltd is registered in England & Wales. The Service is provided as a software-as-a-service (SaaS) platform hosted and operated on EU infrastructure.

2. Description of Service

TrackIt Life is a privacy-first household management platform that provides:

  • Finance: Expense tracking, budgeting, sub-budgets, AI statement parsing, ML categorisation, spending insights
  • Fitness: Workout tracking, custom plans, AI analysis, screenshot and smartwatch data import
  • Grocery: Smart shopping lists, receipt scanning, store analytics, household sharing
  • Diet planner: AI meal planning, nutrition tracking, photo food logging
  • Encrypted storage for financial figures
  • GDPR-compliant data management with Privacy Center

3. Account Registration

To use TrackIt Life, you must create an account. You agree to:

  • Provide accurate and complete registration information
  • Keep your password secure and confidential
  • Notify us immediately of any unauthorised access to your account
  • Be responsible for all activity under your account

You must be at least 16 years old to create an account.

4. Subscription and Billing

4.1 Free Trial

New accounts receive a 7-day free trial with full access to all features. A valid payment card is required to start the trial. Your card is verified but not charged during the trial period. You may cancel at any time before the trial ends.

4.2 Subscription Plans

After the trial, continued access requires a paid subscription:

  • Monthly: £5 per month, billed monthly
  • Annual: £50 per year, billed annually (equivalent to £4.17/month)

Both plans include full access to all apps, AI features (within fair-use limits), household sharing, and the Privacy Center.

4.3 Fair-Use Limits

AI-powered features are subject to fair-use limits per account:

  • 50 AI statement parses per month
  • 5 parses per day
  • 25 pages per day
  • 10 pages maximum per PDF
  • 5 MB maximum file size
  • CSV imports are unlimited

These limits may be adjusted. We will notify you of any changes.

4.4 Cancellation

You may cancel your subscription at any time. Access continues until the end of your current billing period. No refunds are provided for partial periods.

4.5 Price Changes

We may change subscription prices with 30 days' notice. Existing annual subscribers will not be affected until their renewal date.

5. Your Data

5.1 Ownership

You retain full ownership of all data you upload or create within TrackIt Life. We do not claim any intellectual property rights over your content.

5.2 Privacy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your information.

5.3 Encryption

Certain financial data (monetary values and balances) is encrypted at rest using vault-derived keys. This means:

  • Only you can access your financial figures through your vault key
  • We cannot recover encrypted values if you lose your vault access
  • Transaction descriptions, categories, dates, and tags are stored unencrypted
  • You are responsible for maintaining access to your vault

Important: If you lose access to your vault key, we cannot recover your encrypted financial figures. Please ensure you understand this before relying on the encryption feature.

5.4 Data Export and Deletion

You may export all your data at any time via the Privacy Center in JSON or CSV format. You may request complete account deletion, which will cascade-delete all your data across all collections. See our Privacy Policy for full details.

6. Service Availability

We aim to provide reliable service but do not guarantee 100% uptime. Our infrastructure is hosted on OVH in France with monitoring and backups.

We may temporarily suspend the Service for:

  • Scheduled maintenance (with advance notice where possible)
  • Emergency security patches
  • Infrastructure upgrades
  • Events outside our reasonable control

We are not liable for any loss or damage resulting from service interruptions.

7. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorised access to the Service or other users' accounts
  • Interfere with or disrupt the Service or its infrastructure
  • Upload malicious content, viruses, or harmful code
  • Use automated systems (bots, scrapers) to access the Service without permission
  • Resell, sublicense, or redistribute access to the Service
  • Circumvent any security measures or access controls

We reserve the right to suspend or terminate accounts that violate these terms.

8. AI Features and Limitations

  • AI features (statement parsing, categorisation, insights) are provided on an "as-is" basis.
  • AI-generated results may contain errors. You are responsible for reviewing and verifying AI outputs.
  • AI features require explicit consent and can be disabled at any time via the Privacy Center.
  • Mistral AI processes documents under a zero data retention policy.
  • We are not responsible for any financial decisions made based on AI-generated insights.

9. Intellectual Property

The TrackIt Life name, logo, design, and software are the intellectual property of A&C Digital Ltd. You may not copy, modify, distribute, or reverse-engineer any part of the Service without our written consent.

10. Limitation of Liability

To the maximum extent permitted by law:

  • The Service is provided "as is" without warranties of any kind, express or implied
  • We are not liable for any indirect, incidental, or consequential damages
  • Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim
  • We are not liable for any loss resulting from your failure to maintain your vault access

Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Termination

You may terminate your account at any time through the account settings or by contacting us. We may terminate or suspend your access if:

  • You breach these Terms of Service
  • Your account is used for illegal or abusive activity
  • Required to do so by law

Upon termination, you may export your data within 30 days. After this period, your data will be permanently deleted in accordance with our Privacy Policy.

12. Changes to These Terms

We may update these Terms from time to time. We will notify you of significant changes via email or an in-app notification at least 30 days before the changes take effect. Continued use of the Service after changes constitutes acceptance of the updated terms.

13. Governing Law

These Terms are governed by the laws of England & Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.
